Privacy Policy
This policy explains what information RepTurf collects, how we use it, who we share it with and the choices you have. RepTurf is operated by DYE MEDIA LLC, a Tennessee limited liability company based in Smyrna, Tennessee ("RepTurf," "we," "us"). It works alongside our Terms of Service.
1. What this policy covers
This policy covers repturf.com and the RepTurf app at app.repturf.com. RepTurf is a business tool. When a company (our "Customer") uses RepTurf, the data in its workspace belongs to that company, and we handle it for the company under our Terms. If you are an employee using RepTurf at work, your employer controls your workspace data, so please also contact your employer with any request about it.
2. This website
- Early access form. If you request early access, we collect what you enter: your name, work email, company, company website, team size and what you sell. Form submissions are stored with our website host, Netlify. We use them only to contact you about RepTurf.
- Fonts. This site loads its font from Google Fonts. Google receives your browser's IP address and basic browser details when the font loads.
- No tracking. This site does not use tracking or advertising cookies or analytics scripts. Our host keeps standard server logs, such as IP address and pages requested, for security and reliability.
3. What we collect in the app
- Account details: name, work email, phone number if you add one, company, role, and your sign-in and two-step sign-in settings. Passwords are handled by our sign-in provider and stored only in protected, hashed form.
- Billing details: once paid plans are live, payments are handled by Stripe. We receive limited details such as card brand, the last four digits, billing address and tax ID. We never see or store your full card number.
- Workspace content: leads, contacts, notes, territories, routes, deals, flyers, business cards and files that your team adds.
- Location: your device's location at the moment you tap Check in. See Location.
- Connected accounts: if you connect an email or calendar account (Google or Microsoft), we store the access tokens and use the account only within the permissions you approve, such as sending emails you write or creating calendar events you ask for.
- Usage and device data: log data, IP address, browser type, and audit log entries that record actions taken in your workspace.
- Public business data: business names, locations and area statistics from OpenStreetMap and the US Census, used to build territory lead lists.
4. How we use information
- To run the Service, including building lead lists, routes, grades and drafts you ask for.
- To keep accounts and data secure, prevent abuse and fix problems.
- To give support and handle billing.
- To improve RepTurf, using usage information that does not identify a Customer or person where possible.
- To send service messages, such as security alerts, billing notices and changes to our terms.
- To meet legal obligations.
We do not sell or rent personal information. We do not use your data, or data from your connected accounts, for advertising.
5. Google user data
If you connect a Google account, RepTurf accesses only the Google data needed for the features you turn on, such as sending email you write from your own mailbox or adding events you ask for to your calendar. We use this data only to provide those features to you. We do not sell it, do not use it for advertising, and do not use it to train or improve AI models. People at RepTurf do not read it unless you ask us to for support, it is needed for security, or the law requires it. You can disconnect Google at any time in Settings, and we delete the stored tokens when you do.
RepTurf's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Microsoft account data is handled the same way.
6. AI features
If you use AI features, such as AI coaching or AI-written drafts, the content needed for that request (for example notes, lead details or a draft) is sent to Anthropic or OpenAI to produce the result. Under their business terms, they do not train their models on this content. AI results and prospect grades can be wrong, so review them before relying on them. If you do not use AI features, nothing is sent to these providers. Content from connected mailboxes is never used to train any AI model.
7. Who we share it with
We share information only with the service providers that help us run RepTurf, listed below, and only what each one needs.
| Provider | What they do | When |
|---|---|---|
| Netlify | Website and app hosting, early access form | Always |
| Supabase | Database and sign-in, US region | Always |
| Stripe | Payments and billing | Once paid plans are live |
| TypeSafe | Jev prospect grading. Receives business details and your ideal-customer description, not personal contacts | When you grade prospects |
| Anthropic and OpenAI | AI features | Only if you use AI features |
| Google and Microsoft | Email and calendar connections | Only when you connect your account |
| OpenStreetMap and US Census | Public business and area data | When you build a territory |
If you open a route or address in Google Maps or Apple Maps from RepTurf, that app receives the location you open and its own privacy policy applies.
We may also share information if the law requires it, to protect people's safety or our legal rights, as part of a merger, sale or reorganization of the business (with this policy still applying), or with your permission.
8. Staff access
A small number of RepTurf staff can view a company's records when needed for support, security, billing or legal compliance. Every staff view is recorded in an audit log. Staff never see the content of a user's private inbox.
9. Location
RepTurf records your device's location (latitude and longitude), the time and the account you visited only when you tap Check in. It never tracks your location in the background or when the app is closed. Your company's admins and managers can see your check-ins and visit history. Your employer is responsible for telling employees about this and for any notices the law requires. You can turn off location permission in your phone settings, but check-ins will not work without it.
10. Cookies and tracking
- We do not use cookies for advertising, and we do not allow ad networks or other third parties to track you across sites through RepTurf.
- The app uses only essential browser storage to keep you signed in and secure. It does not work without it.
- Do Not Track: we do not currently respond to browser Do Not Track signals, because we do not track users across third-party sites.
11. How long we keep it
- Workspace and account data: for as long as the account is active, and for at least 30 days after a plan ends or a trial lapses so admins can export it, unless you ask us to delete it sooner.
- Deletion requests: completed within 30 days. Copies in backups are removed within 30 more days as backups roll off.
- Backups: made nightly and kept for 30 days.
- Connected account tokens: deleted when you disconnect the account or are removed from the workspace.
- Early access requests: kept until you ask us to delete them, or until they are no longer needed to contact you about RepTurf.
- Billing records: kept as long as tax and accounting laws require, even after an account is deleted.
12. Security
- Each company's data is kept separate using row-level security, so one company cannot see another's records.
- Two-step sign-in is required for everyone.
- An append-only audit log records important actions, including every staff view.
- Data is encrypted in transit, and nightly backups are kept for 30 days.
No system is perfectly secure. If a breach affects your information, we will notify you as the law requires.
13. Your choices
- See or correct: you can review and update your account details in the app. Admins can update workspace data.
- Export: admins can export workspace data at any time.
- Delete: email chris@dye-media.com to delete your account, your workspace or an early access request. If you use RepTurf through your employer, we may need to confirm the request with your company's admin, since the data belongs to the company.
- Disconnect: remove any connected Google or Microsoft account in Settings at any time.
14. Age limit
RepTurf is for business use by people 18 and older. We do not knowingly collect information from anyone under 18. If you think we have, email us and we will delete it.
15. State privacy rights
Residents of some states have extra privacy rights under state law. Whatever state you live in, we honor requests to access, correct and delete your information. Email chris@dye-media.com.
16. Where data is stored
RepTurf is for US businesses. Data is stored and processed in the United States.
17. Changes to this policy
If we make a material change, we will tell account admins by email or in the app before it takes effect and update the date at the top of this page.
